Privacy information
Boss Hogg Grand Tours Ltd (company number 17447410), based in Oakham, Rutland, is responsible for the personal information we process as described in this notice. Contact Julian at julian@bosshogggrandtours.co.uk or +44 (0)7486 398887 about your information or to request our correspondence address.
Current website services
Customer accounts and saved tour baskets are open through our customer portal. Enquiry and tour-update forms submit directly to our Cloudflare-hosted customer service. We store the details you submit, the submission time and source page, and send Julian an alert through Resend. An on-page reference confirms that your submission was saved; it does not confirm email delivery or a booking. We do not process card details through these forms. Optional Google Analytics runs only if you accept analytics cookies. You can reject analytics or withdraw consent at any time using “Analytics cookie settings” at the bottom of each brochure page. Saving a basket does not create a reservation or take a payment. Hosting and security services may process technical request information needed to deliver and protect the website.
Customer accounts and saved tour baskets
Account access uses the email address you enter. The portal stores your full name, email address, phone number and basket details. Your phone number is customer supplied and is not verified. Cloudflare hosts the portal and database; Resend delivers requested sign-in emails. Signing in does not subscribe you to marketing.
Sign-in links work once and expire after ten minutes. Secure host-only sessions last up to twelve hours or until you sign out.
Removing a basket hides it but does not automatically erase its stored record. For information, correction or deletion questions, contact julian@bosshogggrandtours.co.uk.
Direct enquiries
If you submit an enquiry, email or call us, we use the details you provide to answer your enquiry and discuss potential tour arrangements. Email correspondence is handled through our Microsoft-hosted business mailbox. Please do not send licence numbers, payment-card details or medical records in an initial enquiry.
We keep correspondence while needed for the enquiry and any resulting arrangements, and review it for deletion when no longer needed. We do not sell your contact details.
Optional analytics cookies
With your consent, Google Analytics receives usage information such as pages visited, device/browser information and approximate location derived from your connection. It uses _ga cookies to distinguish visits. We use this to understand interest in our tours, not for advertising. We do not send enquiry contents, newsletter addresses or customer-portal information to analytics. Our page-view configuration removes URL fragments and query parameters except limited campaign labels. Google may process information internationally; see Google’s privacy policy. Analytics cookies and your saved choice expire after six months. Rejecting analytics does not affect browsing or enquiries. Withdrawing consent stops future collection and removes this site’s analytics cookies; it does not automatically remove information already collected.
Your information and choices
You can ask for access to your information, correction or deletion, and raise an objection or restriction request where applicable. You can also complain to the Information Commissioner’s Office. Please contact us first if you would like help resolving a concern.
Our dedicated newsletter forms ask you to click Subscribe beside a clear explanation that you agree to receive tour news and offers by email. Entering an email address alone does not subscribe you. We store your email address, the wording, version and method of your consent, the submission time and source page. Earlier requests made using a separate consent checkbox retain their original consent record. Requests are reviewed by Julian; the form does not verify ownership of the email address or start an automated mailing campaign. To withdraw a request or unsubscribe, email Julian. We count saved submissions to understand response levels; we do not send form contents to analytics or advertising services. Technical abuse limits use temporary hashed identifiers and expire hourly. We review enquiry and newsletter-request records when they are no longer needed; you can ask us to delete them.
Professional contacts and relevant tour outreach
Boss Hogg Grand Tours Ltd (company number 17447410) is responsible for this processing. Contact Julian Twynham at julian@bosshogggrandtours.co.uk, +44 7486 398887, or Stone Lodge House, Launde Road, Tilton on the Hill, Leicester, LE7 9DF, United Kingdom.
Why we use professional contact information
We research public professional contacts to identify relevant company reward or team-travel opportunities, chapter and riding-group touring opportunities, and suitable business, event or editorial contacts. We obtain information from official organisation, chapter, club and sponsoring-dealer websites and relevant professional or industry sources. Our first message identifies the source used for your contact details. We also use information you provide in correspondence.
Information we use
This may include your name, professional role, organisation, business contact details and country; the source and date of verification; why the proposed contact is relevant to your role; our correspondence and its status; and records of replies, failed delivery and marketing objections. We keep campaign and organisation-specific link references with our messages to identify the outreach concerned.
Our lawful basis
Where permitted, our lawful basis is our legitimate interest in identifying and contacting relevant professional representatives to introduce our tours and explore appropriate group, corporate or partnership opportunities. We assess the relevance of the contact and its effect on the individual before contacting them. A publicly available address is not consent. Where applicable marketing rules require consent, we need that consent before sending marketing. If we rely on your consent, you can withdraw it at any time without affecting the lawfulness of earlier processing.
Service providers
We use Microsoft business email supplied through GoDaddy and OpenAI services for outreach research and administration, including contact records, correspondence records and our private outreach CRM. These service providers process information to support those services. We do not sell your contact details.
International transfers
These services may process information outside the UK, including in the United States. Microsoft’s and OpenAI’s business data-processing terms provide Standard Contractual Clauses with the UK Addendum for relevant UK transfers. GoDaddy uses UK adequacy arrangements where applicable and contractual safeguards for other relevant transfers under its data-processing terms. You can contact Julian for information about the safeguards or a copy of the relevant terms.
How long we keep information
We review outreach records at least quarterly, at the end of a campaign and when we learn that a person’s role or contact address has changed. We delete uncontacted prospect research when there is no current, documented and relevant outreach purpose for keeping it.
We keep correspondence while needed for an active enquiry or relationship, an unresolved complaint or claim, or an applicable legal requirement. Once those needs end, we delete or minimise completed correspondence so that only information still necessary for a documented purpose remains.
We retain the minimum suppression information and initial-contact event identifiers needed to respect marketing objections and prevent prohibited repeat contact. We review these records to minimise the information held; we do not automatically remove a record if doing so could result in an unwanted or prohibited approach.
Your right to object to direct marketing
You can object to direct marketing at any time, without giving a reason. Reply “No thanks” or email Julian and we will stop using your personal information for direct marketing. We retain a minimal suppression record so that you are not contacted again in error.
Your other rights
You can also ask for access to or correction of your personal information, and request erasure, restriction or portability where the relevant conditions apply. Contact Julian using the details above. You can complain to the Information Commissioner’s Office; you do not have to contact us first.
