Tour booking terms

These terms record the agreed payment, cancellation and package arrangements for Boss Hogg Grand Tours Ltd (company number 17447410). The complete departure information and financial-failure protection contacts must be supplied before a customer commits to pay. Contact Julian to discuss your tour. Enquiries are welcome without a deposit or commitment.

These common terms apply across the advertised tours, with each departure’s dates, price, motorcycle option and package particulars stated in the customer’s quotation. Saving a basket or making an enquiry does not create a booking.

The rider and pillion price options are listed below. Pillions share the rider’s room and motorcycle. Their fare excludes motorcycle hire and is the same with a hired or own motorcycle.

Planned package inclusions

You arrive; we take care of the tour from there. Once we collect you at the published airport meeting point, we coordinate the included transfers, accommodation, meals, crossings, guided riding and support through to the scheduled airport transfer at the end.

All tours include the advertised hotel accommodation; breakfasts, lunches and evening meals; wine tastings, wine with evening meals and hotel welcome drinks; the guided ride with lead and sweep support; the support and luggage vehicle; admissions advertised as included visits; the scheduled ferry or tunnel crossings required by that itinerary; one scheduled arrival arrangement: either pickup on the tour departure day from a named local international airport to the published tour start point, or, for an international guest whose flight schedule requires arrival the previous day, one airport hotel night immediately before departure with airport-to-hotel and next-day scheduled transfers to the start point; and one scheduled departure arrangement: either a transfer from the published motorcycle drop-off point to a named local international airport on the tour end day, or, when the tour return timing requires an international guest to fly the next day, one airport hotel night after the tour with transfers from the motorcycle drop-off point to that hotel and onwards to the airport the next day. The included airport transfers operate within their published meeting and departure windows, including the hotel arrangements when needed. Victory’s plan includes seven hotel nights, the overnight Portsmouth–Caen ferry with a private cabin per motorcycle, the Calais–Dover return ferry with lounge access, and the agreed arrival arrangement via Heathrow or Gatwick. Its return airport choice, hotel arrangement if needed, and transfer windows will be published with the final itinerary. Hotel names are part of the tour surprise and will be shared in the joining information. Before you agree to book, we will give you the overnight locations, accommodation standard and main features, room arrangements, meals and any essential practical details. Exact airport meeting points, transfer windows, ferry operators and crossing times must also be provided before a booking can be taken.

Need a different airport, an extra transfer, or extra hotel nights before or after the tour? Please tell us what would work for you. We can discuss and arrange any additional transfers or hotel nights around your travel plans, subject to availability, and confirm any extra cost with you before you agree to it. The hire-bike rider price includes motorcycle hire, subject to supplier availability and rider eligibility. Where a tour price is not yet published, rider and pillion tour fares and the motorcycle-hire supplement remain to be confirmed. Flights, fuel, personal purchases, drinks beyond the stated inclusions and extra nights are additional. Access to an unconfirmed parade, ceremony or special event is not guaranteed. Each other tour will list its own crossings, accommodation, named outbound and return airports, dates and price.

Motorcycle hire arrangements

The hire-bike price covers the motorcycle-hire charge, paid by Boss Hogg once the provider confirms the arrangement. You sign the provider’s rental agreement and must meet its rider requirements. A separate security deposit or card pre-authorisation may apply. We’ll confirm its amount and refund or release conditions, any excess and other provider charges before you book. Fuel is extra.

The provider, its terms and any charges must be confirmed before a booking is accepted. No deposit amount, damage excess, refund deadline for a rental security deposit, or specific motorcycle model is promised here.

Payment schedule

The planned schedule is 40% with an accepted booking, 30% due 90 days before departure and 30% due 30 days before departure. Exact dates and any arrangements for bookings close to departure will be set out in your written quotation and final terms. Your confirmed quotation will show the exact amounts and due dates before you commit.

Minimum group size

Victory requires at least five booked, paying riders. Pillions do not count toward this minimum. We plan for 8–10 customer bikes and a maximum of 10 paying customer bikes; our lead and sweep bikes are additional. If fewer than five riders are enrolled, we may cancel the departure by notifying guests no later than 8 April 2027, 20 days before it begins. We will offer another available departure where possible, but guests may choose a full refund of all package payments instead, without undue delay and within 14 days of cancellation. We may confirm that the tour will run earlier; the minimum-number cancellation right ends after the stated notice deadline.

Customer cancellation and refunds

You may cancel before departure by emailing julian@bosshogggrandtours.co.uk, quoting your booking reference, or by using the written cancellation-request function in your signed-in account where available. The recorded time we receive your notice determines the cancellation band. A request does not issue a refund automatically.

These percentages apply to money actually received, rather than to an unpaid balance. Any amount retained must remain appropriate and justifiable, taking account of costs saved and income from reselling the place; we will provide a justification on request. Your statutory rights to a full refund are unaffected, including qualifying extraordinary circumstances and cancellation by the organiser.

Any refund due will be paid without undue delay and within 14 days of termination, normally to the original payer through the original payment method. If that route cannot receive the refund, we will contact the payer to arrange a verified alternative. A supplier’s delay in reimbursing us does not postpone your refund. A dated package booking does not carry a general change-of-mind cooling-off period.

War, pandemic and other major disruption

We will assess what has actually happened along the booked route, at the destination and to the transport included in the package, taking account of official advice. A war elsewhere, such as a conflict involving Iran that does not significantly affect a France tour, does not by itself change that tour. If it can proceed as agreed and no legal full-refund right applies, a guest choosing not to travel is subject to the applicable final cancellation terms. We can discuss moving their booking to an available departure by agreement, explaining any difference in price or costs before they decide.

If an event beyond our control, such as war affecting the Picos route in Spain, prevents us from running the tour, our first practical step will be to contact guests with a suitable alternative date or package if one is available. At the same time we will clearly explain the full-refund option: guests can choose whether to accept the alternative. If they decline, we will refund all package payments without undue delay and within 14 days of termination, even if our suppliers have not yet reimbursed us. We will not require a guest to accept a reschedule or credit instead of a refund to which they are entitled.

A guest may also terminate before departure for a full refund where unavoidable and extraordinary circumstances at the destination or its immediate vicinity significantly affect the package or carriage to that destination. Significant changes we propose to essential parts of the package can also give the guest the choice to terminate without a fee. A guest’s separately booked flight disruption or personal illness needs an individual assessment and does not automatically cancel this package; travel insurance may help with losses outside it.

Transfer, assistance and complaints

You may ask to transfer your package to another person who meets the conditions of the tour, giving reasonable notice in writing before it begins. We will explain any actual and reasonable costs caused by that transfer before it proceeds. Boss Hogg is responsible for the proper performance of services included in the package and will assist guests in difficulty. During the tour, tell the team promptly about any problem so we can try to put it right. The final documents will give the 24-hour contact and our complaint process.

We are awaiting the final policy documents and will update these details when they arrive. Please call or email Julian to discuss your tour. Before accepting a deposit, we will supply the applicable protection provider, policy reference, claims contacts and complete departure information.

Passenger protection

Package insolvency protection is designed to cover eligible payments for services that cannot be provided because the organiser becomes insolvent and, where passenger transport is included, the required repatriation and accommodation before repatriation. The issued policy and passenger wording will set out the covered bookings, territories, limits and claims arrangements.

Supplier-failure cover

Commercial supplier-failure insurance is separate protection for a travel business against losses caused by the insolvency of eligible third-party suppliers. Depending on the issued cover, it may address non-recoverable payments, replacement services or necessary repatriation costs. It is not, by itself, passenger protection against the organiser’s own insolvency or a guarantee of motorcycle breakdown cover.

Our package responsibilities and your statutory rights remain unaffected by our arrangements with suppliers and insurers. For tour enquiries, contact julian@bosshogggrandtours.co.uk or +44 (0)7486 398887.

Personal travel insurance

Personal travel insurance is not included in the tour price. Check that any policy you arrange covers the motorcycle riding and destinations in your itinerary, medical treatment and repatriation, and cancellation where required. Your statutory package rights remain unaffected.

Details required for real bookings

For each departure we will provide the overnight locations, accommodation category and main features, room and cabin arrangements, final advertised visits, joining and motorcycle drop-off points, named airports and transfer windows, crossing times or approximate times, any taxes or extra charges, travel and health formalities, suitability information, organiser address and 24-hour contact. The bound non-flight insolvency protection provider and claim route will be identified in the prescribed package information form and contract. The full tour particulars and a copy of the terms accepted will be sent on a durable medium after booking. Individual hotel names may remain a surprise, but the essential accommodation information will be given before payment.

Before you book. The protection contacts and full departure particulars are still being completed. The prescribed package information and the exact terms and tour particulars accepted will be supplied before a payment is requested; a durable copy will accompany the verified booking confirmation. Motorcycle hire remains subject to confirmed provider availability, licence eligibility and route permissions; no particular model is guaranteed. Picos prices retain their “from” qualification. Fairways has a published rider price of £19,995 with motorcycle hire. Where a tour price is still to be confirmed, both rider options and their corresponding pillion prices remain unpriced. Saving a basket does not create a booking or take a payment.

Send your enquiry directly to Julian using the form, or contact him by phone or email.

Ask Julian about this tour and your travel plans. Call +44 (0)7486 398887 or email Julian; there is no deposit or commitment to enquire. How booking will work.

Tell us a little about each guest: will they ride their own motorcycle or travel as a pillion? For Fairways, let us know separately who would like to play golf and what anyone not playing would enjoy. Solo travellers and couples are equally welcome.
